Client Relationship Administrator

Position Description:

The Client Relationship Administrator is a key member of the Advisory Team and acts primarily as the front line/first responder/trusted communicator/confidant for all things client-related, and more. The ever-adapting position requires critical thinking; clear and effective communication with clients, custodians, financial planning department, investment managers, CPAs, attorneys, and TPAs while adhering to quick response time to requests; more than a general understanding of investments and account-type nuances; ability to interpret client issues/concerns in order to provide proper responses or escalate when necessary; ability to research and find answers to all types of issues/questions; skills to effectively use internal systems and custodial websites, generate forms and reports, track and manage activities and client touch, all while behaving in a positive, friendly, poised and patient manner. Specific areas of responsibility include, but are not limited to the following:

  • Help build & maintain positive client relationships
  • Schedule & prepare client meetings/reviews
  • Assist clients with any & all requests
  • Liaise between client/custodian, fund managers, advisor, ops, financial planning, estate- planning attorneys, CPAs & TPAs
  • Prepare client engagement, account and investment paperwork
  • Process & track client engagement, account and investment paperwork
  • Review periodic audit reports
  • Calculate, prepare paperwork, process and monitor annual RMDs
  • Receive & field all client calls
  • Research and resolve client inquiries/issues
  • Phone coverage and reception desk coverage as necessary
  • Manage client & internal relationships

Requirements & Qualifications

  • Ability to pick up new technology software and programs quickly
  • Excel, Word, PowerPoint – critical
  • Service-oriented, energetic and team player with a willingness to pitch-in where needed
  • Excellent interpersonal, written and verbal communication skills
  • Ability to handle interruptions and multiple priority shifts
  • Google is crucial for quick research/references
  • Experience with RIA/Brokerage/Financial Planning/Investments a plus
  • Tamarac Xi suite – helpful
  • Notary Public a plus
